Nalanda is the platform, but the requirement comes from the client
Nalanda is widely used in Spain to manage CAE documentation for contractors, self-employed professionals and workers. The platform displays the requirements established for a client, worksite or activity. That is why two companies can see different requests even when they work in the same sector.
EntraObra is not Nalanda and is not presented as an official Nalanda partner. We help you read the documentary status, organise what is available and prepare the next documentary step when the client gives the necessary invitation or access.
Pending is not always the same as rejected
A pending status can mean that a file is waiting for review, that another linked requirement is incomplete, or that a workflow has not yet been completed. A rejected status normally means that the reviewer or rules of the platform have identified a problem with the document submitted.
Before acting, identify the exact entity affected: company, self-employed contractor, worker, vehicle or equipment. Then read the requirement and any observation attached to it. This prevents a correct document from being uploaded into the wrong category or against the wrong person.
Common reasons documents are rejected
Rejections are often caused by an expired document, mismatched name or tax details, an incomplete page, an unreadable file or a document that does not answer the specific requirement. It can also happen when a certificate belongs to a different company, worker or period than the one the platform is checking.
For worker documents, a Spanish client may use PRL requirements. PRL means prevención de riesgos laborales. The training, medical fitness or preventive information requested will depend on the activity and the site; a file accepted for a previous client is not automatically accepted for this one.
How to deal with a rejected document
Save the rejection note and compare it with the actual file before uploading a replacement. If the reason is unclear, the safest option is to ask the client or platform contact for clarification rather than guessing. Where a corrected document needs to be issued by an insurer, PRL service, accountant or another qualified provider, that provider must issue or validate it.
Once the underlying issue is resolved, the document can be presented again through the relevant process. We help coordinate and follow this documentary work; final validation remains with the client, site owner or platform.
- Client email or platform invitation
- A screenshot of the Nalanda status or rejection note
- The document currently uploaded
- Any replacement or updated document already available
Avoiding new problems after the first validation
A valid status is not necessarily permanent. Insurance, certificates, medical fitness and other records may have expiry dates. When a company has several active sites or workers, checking upcoming dates and platform alerts helps avoid a last-minute access issue.
If you are already blocked from entering, send the actual requirements and current status. We will help separate what needs correction from what is simply still under review. We cannot guarantee access: the final decision always depends on the client, worksite or platform and on compliance with all applicable requirements.
