REJECTED CAE DOCUMENTS

CAE document rejected: what to check before you submit it again

A rejected CAE document can delay a worker, vehicle or company from being cleared for a worksite. The fastest-looking response—uploading the same file again—often creates another rejection. Start by checking what the client or platform has actually requested and why the file was not accepted.

Read the rejection note before changing anything

Platforms such as Nalanda, Dokify, CTAIMA and others may show a reason, comment or requirement next to the rejected file. Record that information first. It tells you whether the issue is the date, the identity of the person or business, the document type, the format or a missing linked item.

A rejection can affect different parts of a CAE file: the self-employed contractor or company, an individual worker, insurance, a vehicle, machinery or a PRL-related record. The correction has to match the entity and requirement affected.

The checks that solve most rejections

Verify that the document is current, complete and legible. Check the name, NIF/CIF or other identity data against the company or worker registered on the platform. Confirm that the document has been placed in the correct requirement and that it covers the relevant activity or validity period.

Do not assume that a document is wrong merely because it has been rejected. Sometimes a correct file is assigned to the wrong worker, uploaded under a similar requirement or missing a related prerequisite. A clear documentary review helps find the actual issue.

When a new document is needed

Some corrections require a replacement from the provider responsible for the document: an insurer, accountant, PRL service, medical provider or another authorised professional. EntraObra does not issue documents that must come from accredited or qualified providers. We help identify what is needed and coordinate the documentary follow-up with the appropriate provider.

Once you have the corrected document, it can be submitted through the client’s process. Keep the former rejection comment and the new version together so the case can be followed if the platform asks for another clarification.

Pending, rejected and validated are different states

Pending means the process has not yet been completed. Rejected indicates that the document has not met the relevant check. Validated means the document has been accepted at that point in the workflow. A validated document can still need updating later if it expires or the client changes their requirements.

This is why CAE management is more than collecting PDFs. It includes checking requirements, monitoring states and dates, and presenting corrections in a traceable way. The client, site owner or platform always has the final word on validation and access.

What to send us for a useful review

Send the client’s requirements or platform invitation, a screenshot of the rejection and the file that was submitted. If you have already received a replacement, include that too. We can help organise the issue, identify the next documentary action and support the new presentation where appropriate.

Our aim is to make the next step clear, not to promise an automatic entry to the site. Final access depends on the client, worksite and all applicable requirements.

FREQUENTLY ASKED QUESTIONS

Common questions

Can I submit the same CAE document again?+

Only if the platform or client confirms that it was a technical issue. Usually it is better to identify and correct the reason for rejection first.

Who can issue a replacement PRL or insurance document?+

The relevant PRL service, insurer or other qualified provider must issue or validate the document. We can coordinate the documentary follow-up.

Does a rejected document mean I cannot work?+

It may prevent access until the requirement is resolved, but the exact consequence depends on the client and worksite.

Do you guarantee the document will be validated?+

No. We prepare and manage the documentary process; final validation depends on the client, site owner or platform.
