How the file is built
Each client configures their own requirements, so the exact list changes from one site to another. What does not change is the order: first the company is accredited, then the people, then the equipment that will be on site.
- Company: tax registration, social security registration, clearance certificates with the tax office and social security, and public liability insurance with a current receipt.
- Preventive arrangement: the contract with the external prevention service or whichever arrangement applies, the risk assessment and the preventive planning.
- Workers: registration and contract, job specific prevention training, risk information, medical fitness and proof of PPE delivery.
- Machinery and equipment: declaration of conformity, CE marking, manual and last maintenance record.
- Vehicles: registration document, technical sheet with a valid roadworthiness test and a current policy.
- The specific site: adherence to the health and safety plan, work centre opening or appointment of a preventive resource when the work requires it.
The first onboarding is the expensive one
The first time you go through DocuPRL with a client, the file has to be built from nothing, and that is where the time goes. Not because the platform is difficult, but because documents appear that nobody had asked for before: a certificate that has to be requested, training a worker does not have, or insurance whose cover falls short of what the contract demands.
Once it is built, maintaining it is far lighter. That is why it is worth starting as soon as the work is likely, rather than the week before setting foot on site.
Working for several contractors at once
It is common to end up with the same worker registered in three different platforms, each with its own format and its own deadlines. The underlying documents are nearly always the same; what changes is where they go and what each client adds on top.
The real risk of that spread is not the paperwork. It is losing sight of a date in a platform you rarely open and discovering it on the morning you need to get in. A single list of expiry dates covering every client removes that kind of surprise.
How EntraObra can help
We work from your client's real requirements rather than a generic checklist. We review what you already have, identify what is missing, sort it, upload it under the right heading and follow the statuses until they are resolved. When a rejection arrives, we interpret the reason and prepare the correction.
After that we keep control of the expiry dates so access does not drop because of a date. EntraObra is not DocuPRL and does not act on its behalf, and we are not an external prevention service: documents that must come from an accredited body we coordinate with your provider. Acceptance is always the client's decision.
